Plan your move in the right order
Use this checklist as a practical roadmap from the first planning stage in Sweden to your first months in Poland. Not every step applies to everyone, so adapt it to your family, work situation and expected length of stay.
Three to six months before moving
- Choose an approximate moving date and decide whether the move is temporary or long term.
- Speak to your employer before you start working from Poland.
- Check tax, social-security and A1-certificate requirements for your situation.
- Check passports or national ID cards for all family members.
- Prepare a realistic budget for deposit, first rent, moving costs, travel and emergency savings.
- Compare cities and neighbourhoods based on work, schools, public transport and daily life.
- Collect employment certificates, civil-status documents, birth certificates and other important records.
- Check whether documents need to be translated by an authorised translator.
- Check what you need to do regarding Swedish population registration and change of address.
- List subscriptions, memberships and contracts that must be changed or cancelled.
One to two months before moving
- Look for housing and confirm exactly what is included in the rent.
- Ask for a written rental agreement and review notice periods, deposit and extra charges.
- Plan transport, storage or sale of belongings you are not taking with you.
- Contact schools or preschools and ask what documents they require.
- Check healthcare coverage and insurance between Sweden and Poland.
- Decide how post, banking, subscriptions and Swedish authority contacts will be handled.
- Store secure digital copies of important documents.
- Compare banking options and plan how you will exchange or transfer SEK and PLN.
- Review home and travel-insurance conditions and notice periods.
- Request medical records and enough prescription medication if needed.
The week before departure
- Confirm key handover, move-in date and first payment with the landlord.
- Confirm the moving company, luggage, tickets and transport from your arrival point.
- Save your address, door code and contact details so they are available offline.
- Keep identity documents, contracts, medication and valuables in your hand luggage.
- Arrange forwarding or another solution for Swedish post.
- Tell close family or friends your itinerary, new address and contact details.
- Download offline maps and useful local-transport and payment apps.
- Photograph valuable belongings and save moving-company terms and receipts.
Your first week in Poland
- Photograph the condition of the home before moving in.
- Check meter readings, keys, internet and payment instructions.
- Get a Polish phone number if you need one for banking, deliveries or public services.
- Find your nearest clinic, pharmacy and emergency department.
- Start meldunek, PESEL and other registrations if required.
- Keep receipts, contracts and confirmations in a dedicated moving folder.
- Check waste, parking and building rules.
- Test your local public transport and route to work or school.
During the first three months
- Check whether you need to register your residence as an EU citizen.
- Follow up on school, preschool, healthcare and insurance.
- Make sure your employer and relevant authorities have the correct information.
- Create a new monthly budget based on your actual costs.
- Update emergency contacts and address details where necessary.
- Keep track of issues that need professional tax, legal or immigration advice.
- Check that recurring rent, fees and subscriptions are paid correctly.
- Save dates and documents for authority cases and follow up unanswered applications.
- Review the checklist again and mark what remains.
Important
Tax, social security and eligibility for Swedish healthcare or benefits cannot be determined only by the location of your employer. Check the rules that apply to your situation before remote work from Poland begins.
